- Passenger and baggage profile: Provide passenger numbers, mobility requirements, minors, pets, baggage volume and any special equipment so the Broker Partner can request facilities properly suited to the declared movement.
- Alternative terminal arrangements: Where a separate facility is unavailable or unsuitable, an airport lounge may offer a different waiting environment, subject to eligibility, capacity, terminal location and the applicable access rules.
Facilities, hospitality and passenger requirements
Facilities vary considerably between airports and may range from a reception area and passenger lounge to meeting rooms, refreshments, rest spaces, showers or assistance for reduced mobility. Their presence on a website or in a facility description does not confirm availability for a specific flight. Opening hours, group capacity, advance-notice requirements, accessibility and charges should be checked for the intended date and passenger group. Preferences can be included in the request, allowing a Broker Partner to seek written confirmation from the terminal, handler or other responsible provider before travel.
- Lounge and meeting facilities: State whether passengers need seating, workspace or a meeting room, while recognizing that room privacy, sound insulation, connectivity and exclusive use require separate written provider confirmation.
- Food, beverages and allergies: Describe the requested service and all dietary or allergen information; in-flight catering can be assessed separately, while preparation, handling and segregation depend on the responsible providers.
- Accessibility and personal assistance: Declare mobility, communication or other assistance requirements early so providers can assess suitable equipment, staffing and routes through the facility without presuming that every request can be accommodated.
Security, border formalities and airside movement
Security screening, immigration, customs and airside access remain controlled by the airport and competent public authorities, even when formalities take place within or near a VIP facility. Procedures depend on the route, passenger documentation, flight status, airport infrastructure and official staffing at the relevant time. A private setting does not waive any legal requirement or assure priority treatment. Vehicle access to restricted areas and transfer to the aircraft also require specific permissions.
