By describing the itinerary precisely, the Client enables a Broker Partner to seek proposals from independent providers and clarify which arrangements can actually be confirmed for the requested date and location.
- Pickup and destination details: Provide complete addresses, local dates, requested pickup times, passenger contacts and every planned stop so prospective providers can assess travel time, waiting arrangements and local access constraints.
- Airport meeting point: Identify the flight, terminal or FBO when known, while recognizing that the airport, handler and transport provider determine the authorized meeting location and applicable passenger collection procedure.
- Alternative airport facilities: Where passengers must meet a driver landside, private terminals may offer a different arrival environment, but terminal access and the onward meeting arrangement each require separate confirmation.
Passengers, vehicles and baggage
Vehicle suitability depends on declared needs and the fleet an independent provider can supply. Passenger numbers, baggage dimensions, child-restraint requirements, mobility needs, journey length and road conditions may affect the proposed category or number of vehicles. A reference to a sedan, sport utility vehicle, van or coach describes a category rather than a guaranteed make, model, age, specification or appearance. Any amenity, accessibility feature, luggage capacity or professional credential should be documented expressly, because photographs and fleet descriptions do not confirm the vehicle assigned to a particular transfer.
- Passenger and accessibility profile: State the number of adults and children and describe mobility, communication or boarding requirements early, allowing providers to assess suitable vehicles, equipment and assistance without presuming availability.
- Baggage and specialist items: Declare suitcase quantities, dimensions and weights, together with wheelchairs, sports equipment, instruments or fragile items, so capacity and any separate transport requirement can be assessed before booking.
- Security-related preferences: Describe any requested driver credentials, vehicle separation or independent security services, recognizing that provider screening, confidentiality, protection measures and service scope require distinct written confirmation for each movement.
Airport access, timing and operating constraints
Airport pickup arrangements depend on the facility, flight type, aircraft parking position, security controls and permissions in force at the relevant time. A driver may be required to wait at a public terminal, a designated FBO entrance or another landside point. Restricted-area access is never implied by a chauffeur request and may require an approved vehicle, accredited driver, escort and specific airport authorization. Flight information can be shared with the responsible provider, but tracking capability, dispatch decisions, waiting time and any response to schedule changes remain subject to that provider's systems, terms and operating conditions.
- Restricted-area access: Treat aircraft-side or airside pickup as unconfirmed unless the airport and responsible providers document authorization, driver credentials, vehicle approval, screening, escort requirements and the exact final meeting point.
- Schedule changes and waiting: Provide current flight details and contact information, while checking how the provider handles early arrivals, delays, waiting allowances, additional charges, cancellations and changes outside its operating hours.
- Terminal procedures: Fast-track assistance may be requested separately where available, but it does not guarantee a particular processing time or alter the driver meeting point, security rules or border requirements.
Requesting and reviewing transfer proposals
A complete request should identify the flight itinerary, sectors, addresses, timings, passenger contacts, baggage, vehicle categories, accessibility needs and any known airport restrictions. IONA JETS transmits the request through its Platform to vetted Broker Partners, who independently decide whether to respond and which providers to consult. A proposal should identify the contractual provider, service scope, meeting instructions, inclusions, exclusions, price, waiting policy and cancellation terms. The Client remains responsible for reviewing those details and obtaining written confirmation of material requirements before accepting the proposed arrangement.
- Information to submit: Include the flight reference, local schedule, addresses, stops, passenger and baggage details, relevant contact numbers, requested amenities and any accessibility, child-seat, security or restricted-access requirement already known.
- Proposal review: Check the named provider, vehicle category, capacity, meeting point, service hours, included waiting time, additional charges, amendment and cancellation terms, and the procedure for contacting the designated driver.
- Independent provider selection: IONA JETS verifies Broker Partners before network participation, while the responding Broker Partner identifies proposed ground providers and the Client decides independently whether the documented arrangement meets its needs.
