Defining the group movement and decision structure

Personal group travel is easier to assess when the request identifies who is traveling, why timing matters and who can make decisions. Extended families, household staff, personal assistants and invited guests may have different origins, documents and arrival priorities. Responding Broker Partners can review the combined requirement or possible split movements. The client, family office or organizer remains responsible for accurate information, valid documents, required consents and timely approvals; neither IONA JETS nor Broker Partners provide immigration advice or validate travel documents.

  • Passengers and group composition: Provide estimated numbers by passenger group, points of origin, ages where operationally relevant, mobility or assistance needs and anyone who may join later. Final manifests and passenger acceptance remain subject to the responsible parties' requirements and deadlines.
  • Routes, dates and useful timings: List every requested sector, preferred and acceptable airports, local dates, time zones, earliest departures and latest useful arrivals. Explain fixed commitments and flexible elements without assuming one aircraft or a simultaneous arrival will be available.
  • Authorized contacts and approvals: Identify the client, organizer, family office or assistant authorized to review proposals, supply documents and approve changes or costs. Use an appropriate controlled channel for personal information and limit its distribution to what each responsible party needs.

Assessing aircraft, airports and passenger requirements

A suitable proposal depends on more than passenger count. Range, runway performance, airport restrictions, seating layout, baggage volume, assistance needs and keeping selected groups together can materially affect the options. Broker Partners may prepare independent proposals from the information supplied, but a named aircraft, cabin, registration, airport, onboard feature or handling arrangement is not confirmed until accepted in the applicable booking documentation. Operational priorities should therefore be distinguished from preferences. Where several airports are acceptable, consider ground-transfer time and facility constraints alongside total flight time.

  • Cabin and passenger needs: State the required capacity, seating priorities, mobility requirements, child-restraint needs and any general medical-support requirement relevant to carriage. The responsible operator and providers determine passenger acceptance, available assistance and the final cabin arrangement.
  • Airports and private terminals: Share preferred airports and the final ground destination. Private-terminal access, vehicle positioning, dedicated processing or restricted areas may be requested, but all depend on the airport, operator and responsible providers and are not guaranteed.
  • Pets and special travel requirements: Disclose each animal, species, size, travel documents and destination rules at the outset. Pet-friendly flight requests remain subject to operator acceptance, aircraft suitability, health requirements, border controls and any conditions imposed by the competent authorities.

Separating passenger baggage, household effects, valuables and cargo

A passenger charter does not automatically accommodate household effects, artwork, collections or large volumes of personal property. The responsible operator must assess baggage quantities, packed dimensions, weights, hold access, payload, restraint and each item's nature. Customs status, ownership evidence, batteries, medicines and other regulated contents should be disclosed early. Items outside passenger-baggage limits may require specialist packing, independent insurance advice or a separate cargo provider and contract. The destination and intended use of the property may also affect documentation, customs treatment and temporary-import requirements.

  • Baggage data and acceptance: Prepare an itemized list of suitcases, trunks, sporting equipment and other articles, including packed dimensions and gross weight. The responsible operator must confirm final acceptance, loading method and carriage conditions before departure.
  • Fragile and high-value items: Identify artwork, jewelry, instruments, collections and other fragile or valuable property without sending unnecessary sensitive details initially. Valuation, packing, custody, insurance and customs advice require appropriately qualified independent providers under separate terms.
  • Separate cargo movements: When articles cannot travel as passenger baggage or must follow another timetable, request a separate cargo proposal. Passenger and cargo options may be considered together, but matching routes, synchronized arrival, customs release and completion are not guaranteed.

Coordinating independent services and itinerary changes

The selected Broker Partner may coordinate the confirmed flight and agreed third-party services with the identified providers, creating a clearer sequence across air travel, ground movements, accommodation and destination support. A useful plan records priorities, decision contacts, timing dependencies and workable alternatives before travel. Requested changes are assessed against current feasibility, availability, pricing and terms; each confirmed service is documented by its responsible provider. Naming one approval contact helps preserve the sequence when one element changes and all the others must follow.

  • Ground transport and other providers: Chauffeur and limousine services, handlers, security teams, accommodation and destination support are independently supplied. Confirm scope, timings, contacts, prices and responsibilities with the relevant contractual provider; none of these services is automatically included in the flight.
  • Privacy and information handling: State proportionate privacy requirements and share sensitive information only through a suitable channel identified by the responsible parties. Private facilities and operational discretion may reduce exposure, but no anonymity, confidentiality measure or restricted access is guaranteed.
  • Changes, substitutions and cancellation: Ask the selected Broker Partner to explain the applicable terms before confirmation. Passenger changes, revised dates, substitute aircraft, extra sectors and recovery options may require new documents, approvals, availability checks, prices or contracts.

Provide every requested sector, local date and time zone, preferred and acceptable airports, earliest departures and latest useful arrivals. Add passenger estimates by group, baggage quantities, special-item data, mobility needs, pets, ground-transfer assumptions and any known visa, customs or security constraints. Separate confirmed details from preferences and name the authorized decision-makers. Vetted Broker Partners can then each decide independently whether to assess the request and what further information they need before preparing a proposal.

Combined or separate sectors may be requested for groups with different origins, documents, duties or timings. Options depend on available aircraft and crews, airport constraints, passenger acceptance, permits and terms offered by responsible parties. The client or organizer remains responsible for accurate passenger information, passports, visas, work permits and consents. Planning does not guarantee that everyone can use the same aircraft or arrive together. IONA JETS and Broker Partners do not validate documents or provide immigration advice or childcare services.

Some items may be accepted as cabin or checked baggage, but acceptance is not automatic. The responsible operator must review quantities, packed dimensions, weights, hold access, payload, restraint, batteries and contents. Artwork, valuables, medicines, sporting equipment or regulated materials may need specialist packing, documents, independent insurance advice or a separate cargo arrangement. Declare relevant items early and obtain written confirmation through the selected Broker Partner before relying on carriage on a particular aircraft. Transport and custody responsibilities remain with the identified contractual parties.

Include proportionate privacy requirements in the request and limit sensitive information to what the responsible parties need. Private-terminal access, vehicle arrangements and security services require separate confirmation and do not guarantee anonymity or confidentiality. Send changes promptly to the selected Broker Partner so the operator and providers can assess feasibility. Revised timings, passengers, aircraft or routes may involve new documents, availability checks, prices or contracts; no backup capacity, protected connection or uninterrupted itinerary is guaranteed. Availability must be reconfirmed after every material change.
